Automatic Subconscious Meeting Minutes 7/10/11

We are on track but looking to recruit new members.

Agenda:
Last fundraiser at Jeremy’s a success. Netted roughly $1,100.
Silver Apple is RETIRED! Fig chatting with John Payne still has his old dome available – in rough shape in Reno the camp who has it will not be using it.

Steam Sub Options
Use steam sub as hot water heater?
-Phil will bring a few little Coleman water heaters if we’d like a shower system.

Sentiment that the SteamSub is a private amenity that does not contribute to the community.

Group decision to eliminate the Silver Apple foam.
*Materials are available if anyone wants it get in touch with Chuck. You have one week.

Damon has a stretch yurt available for grabs for potential conversion.
Possible to straighten benches to fit yurt.

Open it to the Hive, used as a bribe or thank you for awesome neighbors.

Terry indicated that Steam Bath might be interested in buying the engine.

Kitchen:
Damon running the kitchen. This week there will be an email for kitchen shifts.
EVERYONE signs up for 3 kitchen shifts.
Big Question is the Feed the Artist Truck doing a joint refrigerated truck. $350 for one pallet sized truck. Depends on placement, if they are close it will work. Access twice a day. In order to be on that truck (going to playa on Tuesday) if we are not ordering through them Damon needs to be in Reno by Monday. Can put our coolers on their truck.

The question is that typically the kitchen has rented a mini van for coolers. Alt plan is to put non-perishables on truck. Could rent van for drop and pick up or fill the van full of people.

What is broken with how we already do things?
Will need fewer coolers for daily usage. Subsidize van with transporting people.

Down side: additional problem of needing to go get food from the truck.

Doesn’t seem to address the complexity issue.

Seems like would make more sense for an 80 person camp. Keep an eye on it for future

Planning to purchase a freezer.

Filled Pods:
AutoSub diffused responsibility of the camp through Pods, Pod leaders don’t do everything in the Pod rather they are responsible for delegating tasks and ultimately responsible for success of the Pod.

Virgin Pod: Matto – secondary point of contact for virgins with questions and freak outs

Booking agent: FiG – doing well, not doing 24 hours as we did last year. What Where When print guide is now closed, can still accept events up until the burn. Friday and Saturday still open times for events. If you are interested in hosting an event, class, lecture, happy hour still time available. If anyone would like to run or being in charge of Unsomnia events that is open.

Something going on every night, starting Tuesday with classical Café. Tuesday night working with Melinda to have a Together Tuesday event. Wednesday: Thanks for building the City (whole Hive). Thursday: Boston Reunion Happy Hour, MegaSeth 80s. Friday: Wedding Reception, Bootie Mash Up.

Still looking for Classical Café performers.

Overnight stuff during week.

Friday night Wedding reception dome will be closed for private party for a couple hours.

-need a dome foreman. There is a fair bit of knowledge in his head not anywhere else).

Some repair needed on the dome, full machine shop available in Phil’s basement.

Phil power, Dave drinking water, Cobalt dirty water (Dave has ideas for grey water will talk to her about them)

Safety: make sure first aid is not expired and findable, fire extinguishers not expired and findable.

Trash and Recycling: make sure signage is clear so campers know where to put packaging, compost, burnable, trash. Make sure bags are not over flowing. Very important so we don’t wind up with a ton of trash.
Concept: Trash sweep make sure that items are appropriately binned and bags are changed. Investigate options of recycling and compost on playa.

Art: ASub has a budget for people who would like to help beautiful the camp in some way. Art Pod doles out the money for this.

- Tish proposed an idea for the façade with a sculpture garden.

Shop Pod - Chuck

Matto would like to propose a new pod – Art Car Pod.
-Will likely manage this personally this year. Maybe a pod next year

In response for desperate need AutoSub will be running finances differently.

Since Pete took over running the camp worst part is budget/dues and then having people blow their budgets and having to explain that.
Forming a finance group – 3 person (Pete, Chuck, tbd) – separate bank account, Quickbooks, finances more transparent. Going fwd everyone will know what people paid for dues, any allowances will be made by that group, budgets and blown budgets will be made known. Bank account will be titles Automatic Subconscious under Pete and Chuck with ability to change those names at the bank. Tax exempt under clubs with no profits, an EIN number. (Jeremy has a non-profit) Q before had problems exchanging storage locker, another long term AutoSub member can also have their name on it. Will be revisiting pod leaders paying up front, since dues already acquired.

Speaking of liability: Pete Durand has brought up the notion that we have a dome, etc that (even though we are in an at your own risk event) there is liability. There is a group providing liability insurance. Initial run through been applied for with basics of the camp, $500 for 2 week policy. $150 more if anything above 25 feet, $250 if have flames.

We have work to do! The truck loads in about 30 days!
Camp has shit to get done.
TO DO:
- Canvases in the dome repainted
- Dome parts to be recreated (about 12) – Hooch potentially has a list, if not make several extra of each type (10% of each type). (send Matt Fries a list of what we need).
- Changes to grey water if Cobalt needs help
- Gas feeds to stove, all equipment available (work night)
- New frontage (Tish) – hoping to use existing materials of shared shade structure. Half went to Darmen, Chuck has remaining PVC and rebar, need tarps. Need to pull it together and get it to the truck.
- Matto – someone with spandex four way experience (surgers) for art car cover
- retaping the stretch yert for Steam Bath

Tish resend drawing – designed so left side of dome rows to put bikes with the old fencing.

Need to coordinate yurts so they don’t form a convection oven for near by tents.
On camp survey expected foot print of living situation, including car (which can go to a back street).

Be clear to (Chuck) what is covered under your budget.

Large budget items we need:
Flat freezer (Rich has one)
Stove (from pizza pipeline or Matt Fries)
Grill (Tish’s parents)
